Job Description

 

  • Reporting to: Senior Finance and Administrative Officer
  • Salary: GHC36,500 – GHC38,000 per annum, depending on experience
  • Job type:  Fixed term (2 years renewable)
  • Full-time (40 hours per week)
Purpose of the role
Chance For Childhood seeks to engage a committed and hands-on individual as an Administrative and Human Resource officer. The Admin and HR officer will work under the supervision of the Senior Finance & Administration officer to provide administrative, and Human Resources support to the team and projects in Ghana.
Main duties and responsibilities
Administrative and logistical Support (50%)
  • Provide organizational and logistical support for workshops, events, meetings, and trips.
  • Support the reviewing of invoices, expense reports, and receipts.
  • Coordinate with IT support to ensure that computer equipment is operational including Internet access, email, electronic filing and retrieval system, etc.
  • Maintain accurate inventory of office equipment, furniture, software, and accessories
  • Make travel arrangements, and effectively handle administrative problems and inquiries as appropriate
  • Schedule and coordinate appointments
  • Planning meetings and taking detailed minutes
  • Write and distribute letters, emails or correspondence memos.
  • Establish and maintain hard and soft copy project files and record keeping systems in compliance with Chance for Childhood procedures.
  • Maintain accurate documentation for supply orders and receipts for payments.
  • Assist the Senior F&A officer to establish monitoring and tracking systems for project budget, expenditures, approvals, and inventory
Human Resource support (50%)
  • Coordinate with HR support and manage the onboarding of new hires including benefits administration and the exit of departing of project employees
  • Serve as primary point of contact and liaison with project staff on office administrative and HR procedures and as liaison with external vendors and suppliers in Tamale
  • Assist with day-to-day operations of the HR functions and duties
  • Providing clerical and administrative support to the HQ Human Resources Managers.
  • Liaise with the Senior F&A Officer to ensure that CfC staff records are well maintained through filing appropriately the correspondence and any important documents. In a bid to support a paperless office, all important correspondence shall be saved in image on SharePoint in the appropriate folders.
Other Duties
  • Actively participate in team meetings, teamwork plans, adopt team spirit, take responsibility for action items assigned, and provide feedback as needed,
  • Represent Chance for Childhood at external meetings and events as requested
  • Multitask, be able to manage competing priorities and be able to prioritize in order to meet organizational objectives,
  • Keep up to date with any changes in legislation, regulatory procedures, best practice, and industry standards,
  • Perform any other duties commensurate with the level of the post, as may be required

 

Required Skills or Experience

 

  • The candidate should have at least HND in business administration, accounting, Human Resources management, finance, or any other relevant field of study related to the post. A minimum of four years’ experience in delivering on the key responsibilities for this position is required.
  • Experience working in an International NGO (INGO) or Development Agency
  • Knowledge of tax regulations with specific interest in INGO operations
  • Required experience working in multi-cultural environments.
  • Thorough working knowledge of Microsoft Office (particularly Outlook, Word and Excel) and accounting software.
