Job Description

 

Summary of the Position:

The Front Desk Officer will help with receptionist tasks such as receiving of phone calls, greet USP-Ghana guests and also take on clerical tasks such as receiving packages and keeping an inventory of office supplies.

Roles and Responsibilities:

  • Greets and welcomes guests as they come and go.
  • Must be professional and pleasant while interacting with guests.
  • Handles queries and addresses complaints.
  • Receives phone calls and redirect them to the appropriate line.
  • Takes messages and passes them on to the receiver.
  • Receives packages, deliveries, and letters.
  • Keeps an inventory of office suppliess and ensures it is always stocked.
  • Maintains a filing system of all required documents.
  • Maintains a visitors log book.
  • Provides support to the Operation and finance team.
  •  Assists with Procurements
  • Manages data entry into the Data Management System of the USP Ghana lab
  • Performs other duties as assigned.

 

Required Skills or Experience

 

  • A bachelors degree
  • 2 years prior experience in customer service as a receptionist, front desk representative, or relevant position.

Knowledge, Skills and Abilities

  • Must know how to use office machinery like a printer, faxing machine, etc.
  • Basic computer knowledge (MS Office)
  • Excellent communication, written and people skills.
  • Good multitasking, time management and organisational skills.
  • Problem-solving ability with analytical skill.
  • Customer oriented and professional attitude.
