Job Description
JOB SUMMARY

  • Responsible for day-to-day finance operations, including collecting and recording financial information and ensuring account balances are up to date to support budget and expenditure monitoring, audit, and the proper maintenance of account records and books in strictest confidentiality.

JOB SPECIFICATION

  • Review and analyze all supporting documentation to payment for accuracy.
  • Review and process staff advance liquidation in the financial system
  • Enter all financial transaction in the accounting systems
  • Enter all payment in the online banking portal
  • Maintain all prepayment schedule
  • Maintain Fixed asset schedule
  • Review all program participant MOMO payment
  • Enter the monthly vehicle allocation in the system
  • Enter the common cost recharge in the system
  • Perform the inventory offset account reconciliation
  • File statutory returns as appropriate
  • Provide support during the annual budgeting process as well as other Donor specific proposal budget development.
  • Support with internal or external audit requirements
  • Support the month and year-end closing processes to ensure organized, complete, properly approved packages are delivered on time
  • Promote compliance with relevant funder regulations and the organization policies/procedure
  • Oversee the project filing systems to ensure complete and organized accounting files are maintained and properly kept.
  • Monitor actual spending with budget to ensure spending is in conformity with funder approved budgets.
  • Oversee the process of all VAT Claims/VRPO request
  • Regularly review the advance/loan registers, follow up on aging and ensure is liquidated per policy.
  • Support the DFO on strategies that seek ways of reducing cost.
  • Provision of high levels of customer service and professionalism within the program
  • Provide support to the Team on any adhoc activity that may occur
  • Performs other duties as assigned.

Required Skills or Experience
QUALIFICATION AND EXPERIENCE

  • Bachelors or Professional Certificate in business administration, finance, and accounting or other relevant discipline or equivalent experience.
  • Part 2 of certified accounting firm (ACCA, ICAG) desired
  • Minimum of 3-5 years’ experience in financial management and reporting

KNOWLEDGE

  • Working knowledge of International Accounting Standards
  • Knowledge of USAID and other donor regulations.
  • Knowledge of an NGO operating environment.

Communication– Ability to effectively communicate with other staff members and act as a representative of TFHO to the public. Possess strong negotiation and conflict management skills

Microsoft 365 Suite (Word, Excel, Outlook, Planner, PowerPoint, Teams, OneDrive & SharePoint)
Excellent Interpersonal Relationships – role requires building and maintaining healthy relationships across all levels
Information Gathering & Monitoring -role requires data collection to make informed decisions
Adaptability -ability to anticipate and respond swiftly to changing dynamics within the local and international setting
