Job Brief

  • Responsible for performing secretarial work and providing senior managers with day-to-day administrative support.

Responsibilities

  • Take accurate and comprehensive notes at meetings and preparing minutes.
  • Typing, compiling, preparing, formatting, editing reports, presentations, documents and correspondence.
  • Managing diary and organising meetings and appointments. ie scheduling appointments, maintaining an events calendar, and sending reminders.
  • Answer phone calls and enquiry emails and take messages and making external enquiries.
  • Acting as a first point of contact, often controlling access to the line manager/executive.
  • Collating and filing expenses of line manager / executive.
  • Managing databases and filing systems. Entering data, maintaining databases, and keeping records.
  • Booking and arranging travel, transport and accommodation for line manager / executive
  • Ordering office supplies and replacements, as well as managing mail and courier services.
  • Managing internal and external correspondence on behalf of line manager / executive.
  • Liaising with internal departments on tasks requiring completion by line manager / executive
  • Help with daily time management by reminding the line manager/executive of important tasks and deadlines.
  • Assisting with preparation of presentations and documentations.
  • Run errands as requested.
  • Organising and coordinating events and speaking engagements.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Observing best business practices and etiquette.

Technical Competence

  • Tech-savvy and experience with Microsoft applications and email programs

  • Analytical and self-motivated.

Requirements

  • Minimum HND or higher in business administration or secretarial support.
  • 1 to 2 years in an administrative role. Experience as a receptionist, secretary, administrative assistant or office manager is useful for this role.
  • Fluent spoken and written English, working knowledge of French language will be an advantage.
  • A team builder with excellent people skills; culturally sensitive and has the ability to work with a multicultural team.
