Facilities and Travel Coordinator at Tullow Oil

Tullow Oil is a well-established, recognised independent oil and gas company focussed on Africa and South America. The Group has interests in over 70 exploration and production licences across 15 countries.

 

Tullow Oil is looking to appoint a Facilities and Travel Coordinator on a permanent basis. The position will be based in Accra/Takoradi, Ghana. The individual will coordinate all facilities management, travel, and related administrative duties. You will execute safe maintenance, repair or replacement of equipment and systems to ensure maximum benefit of accommodation, while supporting the policies, goals, and objectives of the company.

This is an excellent opportunity for an individual to drive change to improve the efficiency in the execution of managing travel, accommodation, and its related arrangements.

 

The Successful Candidate Responsibilities include:

  • Plan and coordinate facilities related issues to support operations.
  • Ensure that all maintenance and other related facility issues are addressed with dispatch and feedback provided to users as soon as practicable.
  • Document all reported issues, ensure the quick resolution of all such issues.
  • Put in place Framework Agreements and ensure all running contracts in conjunction with C+P are properly administered, checked, and renewed as and when they are due.
  • Prepare and submit weekly reports on all facilities related activities in Accra/Takoradi.
  • Support the development and implementation of project travel policies, procedures, processes, and templates.
  • Coordinate the development and approval of international travel requests for submission to client.
  • Make travel arrangements for project/offshore staff members as required.
  • Assist project staff members in obtaining required visas and residency permits and track renewal requirements.
  • Maintain project travel calendar and regularly communicate updates to the project leadership team, the security team, and other relevant parties.
  • Establish and manage relationships with travel service providers including travel agencies, hotels, visa service providers, etc.
  • Support the development and implementation of project events policies, procedures, processes, and templates.
  • Maintain master events calendar for the project and regularly communicate updates to the project leadership team, the security team, and other relevant parties.
  • Work with the relevant technical teams and project leadership to conceptualize, plan, and implement project events.
  • Work with other operations team members to secure venues, procure goods and services in support of project events, in line with Tullow requirements.

 

 

Skills

  • Previous experience in Facilities Management and Travel.
  • Knowledge of Oil and Gas operations /offshore crew mobilization is essential.
  • Complete understanding of IATA regulations.
  • Experience working in a multi-cultural environment.
  • Ability to solve practical problems and deal with diverse business drivers and variables.
  • Ability to handle multiple tasks simultaneously.
  • Proven capabilities to perform as a team player.
  • Highly skilled in Microsoft Suite applications.
  • Excellent communication skills, both written and oral.
  • Ability to work under pressure.

 

Education

  • A minimum of bachelor’s degree or Tertiary equivalent in Building Technology, Hospitality Management, Supply Chain Management, or related discipline.
