BASICS International is seeking applications from suitably qualified individuals to fill the position of Administrative Officer

Job Description

Key responsibility is to provide administrative and operational support to the Executive Director, including but not limited to detailed calendar management, expense report management, mail processing, invitation coordination,

 

  • Assist with special projects, staff training and other general office tasks as needed or assigned. Work closely with other programme officers, to build a cohesive team while exhibiting leadership qualities

Operations Administrator Responsibilities:

  • Support the Executive Director with all administrative tasks and duties
  • Prepare guest visitor logistics and receive visitors including Donors and partners
  • Manage, update, and maintain Programme databases.
    • Assist with programme related activities when needed ( which includes working with children)
  • Track progress of children under sponsorship
  • Prepare reports and data on sponsorship for management
  • Support Human Resource management
    • Collection and Submission of Staff Timesheets to Management
    • Assist with Staff and Volunteer training
  • Office management –
    • Procurement of supplies, inventory management
    • Ensure Maintenance of equipment etc
  • To be successful as an Operations Administrator you will work closely with the Executive Director to ensure smooth and efficient daily operations of the organization. The Operations Administrator should be committed to community work, highly organized, self-motivated and thrive under pressure

 

Required Skills or Experience

  • Must be able to read and write ENGLISH fluently able to publically speak and give presentations
  • Must be computer literate ( Microsoft Word, Excel) (computer graphic would be helpful)
  • Must be able to multitask, take instructions, orders and execute in a timely manner
  • Able to work long hours with endurance.
  • Be creative ( in thinking and in actions) , assertive, and show signs of leadership
  • Have a great memory
  • Willing to work as a team player; and in any capacity when needed.
  • Candidate must be willing to start work immediately and work
  • Work Schedule – Monday- Friday ( 12:00- 8:00) Hours vary during GES school vacation
