Clean Team Ghana (CTG) is a social enterprise dedicated to bringing vital in-home sanitation services to low-income residents of Kumasi. We offer improved sanitation, convenience, and dignity, whilst offering cost savings to this underserved sector.

CTG currently employs 50+ Ghanaians to deliver its services to almost 15,000 Kumasi residents. We are looking to increase that by a factor of 10 over the next 3+ years. Every home we service is a household where open defecation or use of public toilets cease and dignity, convenience, personal hygiene, and health can improve.

Our Honourable President and the Ministry of Sanitation and Water Resources have mandated that every home in the country must have a toilet and we are committed to helping that vision become a reality. We work closely with the local government and other partners to ensure we deliver a world-class service to our customers.

 

Job Description

THE ROLE

The Procurement Officer is primarily responsible for the asset inventory. Under the supervision of the Finance Manager, the Procurement Officer has the responsibility for the management of the daily procurement activities in CTG from the request to the delivery of goods, works, and services.

Main Duties and Responsibilities

A. Procurement & Vendor Management

  • Creates purchase orders, ensuring relevant procurement procedures have been applied and all supporting documentation is attached
  • Assist in the selection of appropriate suppliers and contractors, to promote good procurement practice with due regard to sustainability, ethical purchasing standards and costing
  • Draft an appropriate service level agreement to properly evaluate the performance of suppliers, and report on this on a regular basis.
  • Work with internal stakeholders (management and staff) to determine procurement needs, quality, and delivery requirements in line with CTG’s procurement policy.
  • Responsible for order placement timing, supply/demand alignment, material replenishment, and supplier performance
  • Monitor, evaluate, and improve supplier performance, according to an appropriate Service Level Agreement, on a continuous basis

 

 Inventory Management & Cost Control

  • Liaise with Finance Manager to develop sourcing strategies that ensure cost-saving budgeting and targeting
  • Control and monitor expenses against approved budgets through excellent payment terms negotiation, optimization, and management
  • Undertake market analysis for items to be procured and put forward recommendations as to how the procured items can be met within budget.
  • Review inventory, update as required, and report on this on a regular basis
  • Reconcile or resolve order discrepancies with supplies

Relationship Management

  • Maintain good relationships with suppliers and renegotiate prices on a regular basis
  • Respond and resolve supplier and end-user queries in a timely manner
  • Ensure budget holders provide annual/quarterly procurement plans and initiate procurement plan discussions with budget holders.

Required Skills or Experience

  • University Degree in Business Management, Logistics, Supply Chain, Procurement, or any other related field.
  • At least 3 years of experience as a Procurement or Supply Chain or Logistics Officer

Technical/Functional Competencies

  • Proven experience as either procurement/logistics/supply chain officer or any other relevant role
  • In-depth understanding of supply chain management and procurement and logistics management

  • Excellent use of Microsoft office
  • Ability to negotiate and communicate effectively
  • Excellent organizational and leadership skills

  • Remuneration will be between 3000 and 3500 Cedis per month, dependent on experience. Private health insurance will also be offered on passing probation
